Job Summary

Reporting to the Director of Prevention (Child and Family Services (CFS)), the Administration Support Worker will contribute to the program team as the community prepares to take jurisdiction over CFS via Bill C-92. This position will perform a variety of secretarial and administration duties to provide a vital link between the Program, support staff, clients and other community program supports.

Duties and Responsibilities

  • Maintain strict confidentiality and code of conduct;
  • Attend meetings as required;
  • Greet clientele entering office, answer questions and direct visitors to the appropriate people or services;
  • To conduct all switchboard duties; answer, screen and forward telephone calls;
  • Take messages and provide information;
  • Schedule and confirm staff meetings and appointments;
  • Maintain a current record of staff attendance and travel;
  • Accept messenger and courier deliveries;
  • Responsible for setting up and maintaining information filing systems;
  • Other duties include but are not limited to:
    • Provide general office support;
    • Coordinate meetings;
    • Making travel arrangements;
    • Preparing meeting kits;
    • Transcribing meeting minutes; and
    • Maintaining office supplies, inventory, equipment, etc.
    • Entering information into the finance Xyntax System

Qualifications

  • Must have Grade 12 diploma or equivalent;
  • Preference of an Office Administration Diploma or similar;
  • Minimum three (3) years office work experience in a front-line environment;
  • Must have high proficiency with Microsoft Office, Word, and Excel;
  • Experience working with Xyntax;
  • Must be able to submit a satisfactory Criminal Reference Check and Vulnerable Sector Search;
  • Understanding of First Nations’ management, culture and lifestyles; and
  • Must live a healthy lifestyle-Must consent to random Drug and Alcohol Testing.
